Customer Terms & Conditions

These are the terms and conditions that govern all bookings on this website.

To see our full Terms & Conditions read below (The Legal Stuff).

However, to make easier reading, listed below are the key points in plain English:

  • You will receive automatic confirmation of your booking.
  • Your booking represents a contract between the hotel and you. We act as a booking agent on behalf of our partner hotels. We do not operate any of the services ourselves.
  • We charge a non-refundable and non-transferable booking fee of 10%.
  • You will be responsible to pay the hotel for the balance due upon arrival. Full details will be advised to you during the booking process.
  • If you do not cancel within the specified time frame (usually 48 hours before 2pm on the date of arrival but subject to hotel's own policy) or do not show for your booking, you will be charged for the first night's stay. Beyond this, the hotel's booking conditions will apply to your contract and full details can be obtained on request.
  • We recommend that you reconfirm your booking with the hotel prior to arrival. This assists the hotel to prepare for your arrival, i.e. check-in times, special requests or provision of accessible information.
  • Cancellations must be made via your "My Account" or in writing directly to the hotel.
  • Booking deposit payments made to Disabled Friendly Hotels are non-refundable & non-transferrable in the event of you cancelling or amending a booking.
  • Every effort is made to ensure that the Supplier processes your booking correctly, though in the unlikely event of a problem arising, our liability is limited to the payment made to Disabled Friendly Hotels only.
  • Customer ratings and reviews shown on the website are the aggregated opinions of customers who have booked through Disabled Friendly Hotels, stayed at the accommodation and completed and returned a feedback form to us upon their departure.
  • A "My Account" account is automatically created at time of booking which allows the user to view, amend or cancel bookings, create a profile and interact with other parts of the website.
  • It is hoped that all users will join DFH Connect which is a free, innovative social network for the promotion of travel and the sharing of information between the worldwide disabled community.
  • Our Supplier Directory is complied through user recommendations for convenience and information purposes only. We accept no liability for any contract or service that you book or for any acts or omissions by any Supplier listed in the Supplier Directory.

THE LEGAL STUFF

The following Booking Conditions together with the General Information contained on our website form the basis of your relationship with Disabled Friendly Hotels Ltd. Please read them carefully as they set out our respective rights and obligations. These Booking Conditions apply to all bookings that you make with us as set out in more detail herein.

Please note:

  • We act as agent only in respect of all bookings we take or make on your behalf.
  • We accept no liability in relation to any accommodation contract you enter into or any other service that you book or for any acts or omissions by the hotel accommodation supplier (‘Supplier').
  • For all bookings your contract will be with the Supplier of the accommodation or other service concerned. The Suppliers' booking conditions will apply to your contract. These terms and conditions may limit and/or exclude the Suppliers liability to you. In making a booking, you are deemed to agree to all these conditions. Copies of these terms and conditions are available from us on request.
  • References to "you" and "your" in these Booking Conditions mean all persons named on the booking (including anyone who is added or substituted at a later date). "We" "us" and "our" mean Disabled Friendly Hotels Ltd (‘Disabled Friendly Hotels').
  • Irish Law will apply to our agreement and to any dispute or claim which arises between us out of it. Any such dispute or claim must be dealt with by the Courts of the Republic of Ireland.
  • Unless stated otherwise, the software required for our services or available at or used by our website and the intellectual property rights (including the copyrights) of the contents and information of and material on our website are owned by Disabled Friendly Hotels Limited, its suppliers or providers.

1.      RESPONSIBILITY

By making a reservation through Disabled Friendly Hotels, you enter into a direct (legally binding) contractual relationship with the Supplier at which you book. From the point at which you make your reservation, we act solely as an intermediary between you and the Supplier, transmitting the details of your reservation to the relevant Supplier and sending you a confirmation email for and on behalf of the Supplier.

Your contract for the supply of accommodation is with the accommodation supplier and its booking conditions apply. As agent, we accept no responsibility for the actual provision of the accommodation. Our responsibilities are limited to making the booking in accordance with your instructions.

Our maximum liability to you if we are found to have been at fault in relation to any service we provide (as opposed to any service provided by any accommodation supplier for whom we are not responsible) is limited to the cost of your booking (or the appropriate proportion of this if not everyone on the booking is affected).

Through the website we (Disabled Friendly Hotels Limited) provide an online platform through which Suppliers can advertise their rooms for reservation, and through which visitors to the website can make such reservations.

2.      ACCURACY OF INFORMATION

When rendering our services, the information that we disclose is based on the information provided to us by the Suppliers.

As such, the Suppliers are given access to an extranet through which they are fully responsible for updating all rates, availability and other information which is displayed on our website.

The website is designed in such a way as to give relevant information on the disabled friendly characteristics of the Supplier's premises. Such information is not to be construed as a Disabled Access Guide.

Although we will use reasonable skill and care in performing our services we will not verify if, and cannot guarantee that, all information is accurate, complete or correct, nor can we be held responsible for any errors (including manifest and typographical errors), any interruptions (whether due to any (temporary and/or partial) breakdown, repair, upgrade or maintenance of our website or otherwise), inaccurate, misleading or untrue information or non-delivery of information.

Each Supplier remains responsible at all times for the accuracy, completeness and correctness of the (descriptive) information (including the rates and availability) displayed on our website.

If you feel it appropriate, please advise the Supplier(s) concerned of your medical problem or disability so that they can advise as to the suitability of the chosen arrangements. If the supplier advises in writing sufficiently in advance of the arrival date that the premises is not suitable Disabled Friendly Hotels Limited will endeavour to find alternative accommodation for the customer or at its full discretion refund the booking deposit to the customer.

3.      SPECIAL REQUESTS

If you have any special requests please contact the Supplier(s) concerned and advise them at the time of booking. Neither we nor the Supplier(s) concerned can guarantee that they will be met. Further, if the Supplier(s) is unable to meet any such requests, neither we, nor they, will have any liability to you in this respect.

In making a booking, it shall be your responsibility to disclose to the Supplier any requirements or special requests that you or a member of your party may require as a result of any medical conditions. A Special Request box is provided in the booking confirmation page.

4.      PRICES

The prices on our site are highly competitive.

All prices on the Disabled Friendly Hotels website are per room for your entire stay and are displayed including VAT and all other taxes (subject to change of such taxes), unless stated differently on our website or the confirmation email.

We endeavour to ensure that all the information and prices on our website are accurate; however occasionally changes and errors occur and we reserve the right to correct prices and other details in such circumstances. You must check the current price and all other details relating to the arrangements that you wish to book before your booking is confirmed.

5.      PRIVACY & SECURITY

Disabled Friendly Hotels understands that some people are unsure about entering their personal details into websites over the Internet.

Disabled Friendly Hotels respects and protects your right to privacy in all interactions with its website.

We explain below how we use your information and how we protect your privacy.

Any information which is provided by you to Disabled Friendly Hotels via this website or otherwise will be treated in accordance with the terms of the Irish Data Protection Acts, 1988 and 2003 and/or such amending or replacement legislation as may be adopted in Ireland from time to time.

INFORMATION REQUIRED TO PROCESS YOUR BOOKING

For us to process a booking for you on behalf of a Supplier, we require your personal details i.e. your name, nationality, gender, phone number, email address. We also and request you to choose a password.

At the time of booking we also suggest you enter your disability type. However, this is completely optional. However, entering your disability type provides useful information to the Supplier hotel to better serve your needs.

If later, you join DFH Connect; see below, it is helpful to enter your disability type so as to be able to share relevant information with persons of a similar disability from around the world. 

We require your credit or debit card details to confirm the booking / provide automatic confirmation and make the 10% booking deposit fee payment.

WHO SEES YOUR INFORMATION

We are required to send your personal details (but not your credit card details) to the Supplier so that the Supplier knows who you are and when you will use its services.

If you have entered a disability, this will also be disclosed to the Supplier.

All Suppliers on whose behalf we facilitate bookings have agreed to Disabled Friendly Hotels' terms and conditions and accept our privacy policy.

CREDIT / DEBIT CARD SECURITY

Disabled Friendly Hotels gives top priority to the security of our internet transactions and our customers' credit card details and offers the highest level of security available for online transactions. We hope this reassures you when you make your reservations with us.

We do not store your credit card details.

Rather, we use Realex's service "Real Vault" to store your credit card information. As such, your credit card details never leave the Realex servers and is neither visible to Disabled Friendly Hotels or its Suppliers i.e. the hotels.

It is therefore impossible to compromise the accounts outside of Realex.

Realex and Real Vault's security is virtually impenetrable. All sensitive information exchanged between your computer and Realex is encrypted using SSL (Secure Sockets Layer) 128-bit encryption. This ensures that your information is transmitted securely and is safe from third parties.

(There are two levels of encryption: 40-bit and 128-bit. With 40-bit encryption, there are billions of possible keys to decipher the coded information, and only one of them works. With 128-bit encryption, there are 300 billion trillion times as many keys as with 40-bit encryption. It is virtually impossible for an unauthorized party to find the right key, even if they are equipped with the best computers).

In circumstances of a no-show, Disabled Friendly Hotels will request Realex to charge the customer's credit card for the first night's accommodation and will remit these funds to the Supplier.

Disabled Friendly Hotels makes all reasonable efforts to ensure that card transactions are secure. However, if unauthorised charges appear on the credit /debit card (statement) you have used on disabledfriendlyhotels.com at any time during or after you have made your reservation, conducted your transaction, or disclosed your credit / debit card details on the website, Disabled Friendly Hotels shall not be liable or responsible in any way in respect of any damage or loss of whatever nature, suffered by you arising from or in any way connected with the use, transaction or disclosure of the card details.

"MY ACCOUNT"

Once a password has been created and your first Disabled Friendly Hotels booking is confirmed you will receive details of your My Account username and password.

Your "My Account" username will always be the e-mail address used for your first booking.

However, you can change your username, password and personal details at any time by logging into your "My Account".

This account can be accessed at any time through "My Account" by entering your e-mail address and password. When you make a booking with Disabled Friendly Hotels a "My Account" account will automatically be created for you.

"My Account" allows you to:

  • Subscribe to DFH Connect.
  • Create your profile.
  • View, change or cancel your bookings.
  • Make new bookings.
  • Recommend suppliers to the Supplier Directory.
  • Leave reviews.
  • Interact with our Blog and Forum.
  • Unsubscribe to our newsletter.

HOW WE USE YOUR INFORMATION

In addition to the use and disclosure of information which is required when you avail of our accommodation booking services described above, we may use your email address to send you booking confirmations, newsletters, pre-trip reminder e-mails, reminders to review your last accommodation stay or occasionally to inform you of new features on Disabled Friendly Hotels.

We or the Supplier will only use your phone number to urgently contact if there is a problem with your booking.

You can access and update your personal information at any time by visiting your "My Account" link on the website.

In circumstances where you contact us with a query, we use your contact details in order to respond to your query. The accuracy of your personal information helps us to make our response more relevant to you.

We will not, under any circumstances, sell or rent your personal information to third parties for their marketing purposes.

DFH CONNECT - SOCIAL NETWORK

DFH Connect is an innovative social network for the promotion of accessible travel and the sharing of accessibility information between the worldwide disabled community. It is free, has no obligations and you can leave at any time.

Users requesting information (requesting users) can search for other users (recipient users) who have a similar disability and who have travelled to or are from a place where the requesting user wishes to visit.

In this way, users can connect with other travellers of similar disability to share highly relevant travel tips and plan future trips.

By joining DFH Connect, you consent to the display on the "DFH Connect" page of the website of your following personal details:
  - First Name  
  - Disability
  - Nationality
  - Area / City of residence

We will also automatically display the places you have travelled to using DFH.

The requesting user must join or be an existing member of DFH Connect to connect to a recipient user. The recipient user has full discretion whether or not to reply to the requesting user.

It is hoped that most users will join DFH Connect so as to enable the free and un-encumbered sharing of information between members of the worldwide disabled community.

Any abuse of the system will be monitored and DisabledFriendlyHotels.com reserves full authority and discretion to delete users. 

YOUR ACCESS AND AMENDMENT RIGHTS

You have the right to request a copy of the information which we hold about you (for which we may charge you a small fee) and to have inaccuracies in the information corrected. If you wish to avail of any of these rights, please contact us at info@disabledfriendlyhotels.com

LIMITATION AND EXCLUSION OF LIABILITY

Disabled Friendly Hotels, its Directors, Employees, Servants & Agents or other representatives shall not be liable in respect of any claims, emergencies, demands, causes of action, damages, losses, legal fees and costs of proceedings arising out of or in connection with the use and/or dissemination of personal information relating to you in accordance with this policy and your consent.

AMENDMENT OF PRIVACY AND SECURITY STATEMENT

Disabled Friendly Hotels reserves the right in its sole discretion to amend this Privacy and Security Statement at any time and you should regularly check this privacy policy for any amendments. However, where any such amendments would materially change the use we make of any personal data, any such amendment will be subject to your prior consent.

Disabled Friendly Hotels uses high ethical standards and respects your privacy. Save for disclosures required by law in any relevant jurisdiction and the disclosure of your name and email address for completing your booking with the relevant Supplier of your choice, we will not disclose your personal information to third parties without your consent.

6.      PAYMENT - 10% DEPOSIT TAKEN AT TIME OF BOOKING

Upon making a booking, you agree to make a non-refundable payment of 10% of the total accommodation cost to Disabled Friendly Hotels. This 10% non-refundable payment will be charged in € Euro. Where the property price is not in €, the payment amount in € to Disabled Friendly Hotels is calculated by converting the property price from its original currency to €.

The balance of the cost of any booking for accommodation is payable to the hotel (Supplier) upon arrival.

The customer is responsible in respect of any charges for any additional services subsequently contracted for with the hotel (Supplier).

7.      BOOKING CONFIRMATION

Once we have received your booking and all appropriate payments, we will, subject to availability, confirm your arrangements on behalf of the Supplier concerned by issuing a confirmation email. Please check this email carefully as soon as you receive it.

Contact us immediately if any information which appears on the confirmation or any other document appears to be incorrect or incomplete as it may not be possible to make changes later. As we act only as agent we will have no responsibility for any errors in any documentation except where those errors were made by us. Subject to this, we regret we cannot accept any liability if we are not notified of any inaccuracy in any document within 14 days of our sending it out.

A binding contract between you and the Supplier concerned comes into existence when we send your confirmation email on the supplier's behalf to you and the terms and conditions of the supplier, in addition to these conditions, will be applicable to the contract. We suggest that you check and confirm with the Supplier(s) concerned the precise terms and conditions upon which they make the booking available to you.

The reservation numbers included on your confirmation should be quoted to the Supplier(s) concerned in all enquiries, cancellations or amendments to the reservation.

8.      CANCELLATION

Cancellations and amendments to confirmed bookings by you

On making a booking you will be required to pay a non refundable deposit of 10% of the value of your booking.

You will be responsible to the Supplier for payment of the balance of the cost of the booking made by you upon arrival.

By making a booking, you agree to accept the relevant cancellation and no-show policy of the Supplier as set out in its terms and conditions.

If you cancel your booking outside the permitted time frame or if you fail to arrive for your booking, you authorise a charge to your card equivalent to one night's stay without further notice to you.

The permitted time frame is usually outside of 48 hours before 2pm of the arrival date but is subject to the hotel's own policy.

You may cancel your booking without further penalty within the permitted time frame via your "My Account" by logging in at: www.disabledfriendlyhotels.com

In the event of a cancellation, you will not receive a refund of your booking deposit as your booking deposit is non refundable.

If you need to amend your booking, you may do so direct with the Supplier in accordance with the Supplier's Terms and conditions; amendment charges may or may not apply. Any amendments to your reservation must be notified to and agreed with the Supplier(s) concerned directly, and are at their discretion.

Non-arrival may result in the cancellation of your entire reservation and applicable cancellation charges will be applied.

The general cancellation policy of each Supplier is made available on our website at the Supplier information pages, during the reservation procedure and in the confirmation email.

Depending on the reason for cancellation, you may be able to reclaim these cancellation charges (less any applicable excess) under the terms of your insurance policy. Claims must be made directly to the insurance company concerned.

Cancellations & amendments to confirmed bookings by the Supplier(s) concerned

We will inform you as soon as reasonably possible if the Supplier needs to make a significant change to your confirmed arrangements. We will also liaise between you and the Supplier in relation to any alternative arrangements offered by the Supplier but we will have no further liability to you.

Circumstances beyond our control

Except where otherwise expressly stated in these conditions, we regret we cannot accept liability or pay any compensation where the performance or prompt performance of our obligations to you is prevented or affected by or you otherwise suffer any damage or loss as a result of "force majeure".

In these Booking Conditions, "force majeure" means any event which we or the Supplier in question could not, even with all due care, foresee or avoid. Such events may include war or threat of war, riot, civil strife, actual or threatened terrorist activity, industrial dispute, natural or nuclear disaster, adverse weather conditions, fire and all similar events outside our control.

9.      RANKINGS & GUEST REVIEWS

Customer ratings & reviews shown on the website are the aggregated opinions of customers who have booked through Disabled Friendly Hotels, stayed at the accommodation and completed and returned an online feedback form to us upon their departure.

Our Default Ranking system is created through a fully automatic ranking system (algorithm) and based on multiple criteria.

The completed guest review may be (a) uploaded onto the relevant Supplier's information page on our website for the sole purpose of informing (future) customers of your opinion of the service (level) and quality of the Supplier, and (b) (wholly or partly) used and placed by Disabled Friendly Hotels at its sole discretion (e.g. for marketing, promotion or improvement of our service) on our website or such social media platforms, newsletters, special promotions, apps or other channels owned, hosted, used or controlled by Disabled Friendly Hotels.

We reserve the right to adjust, refuse or remove reviews at our sole discretion. The guest review form should be regarded as a survey and does not include any (further commercial) offers, invitations or incentives whatsoever.

10.    OUR LIABILITY

We act as a booking engine and intermediary for the Supplier(s) concerned. We are not a party to the agreement between you and the Supplier(s) and have no responsibility or liability to you in respect of the terms of that contract.

We recommend that you ensure that the Supplier(s) terms and conditions are to your satisfaction prior to booking because Disabled Friendly Hotels does not warrant their contents.

While we make every reasonable effort to ensure that the accommodation or other service listed is of an acceptable standard, the listing of any accommodation premises or other service on this site is not and should not be taken to be a recommendation from Disabled Friendly Hotels, or a representation that the premises or other service will be suitable for the users purpose.

We shall not be liable to you in the event that the accommodation or other service is not suitable for your purpose.

Subject to the limitations set out in these terms and conditions and to the extent permitted by law, we shall only be liable for direct damages actually suffered, paid or incurred by you due to an attributable shortcoming of our obligations in respect to our services, up to an aggregate amount of the aggregate cost of your reservation as set out in the confirmation email (whether for one event or series of connected events).

However and to the extent permitted by law, we shall not be liable for (i) any punitive, special, indirect or consequential loss or damages, any loss of production, loss of profit, loss of revenue, loss of contract, loss of or damage to goodwill or reputation, loss of claim, (ii) any inaccuracy relating to the (descriptive) information (including rates, availability and ratings) of the Supplier as made available on our website, (iii) the services rendered or the products offered by the Supplier, (iv) any (direct, indirect, consequential or punitive) damages, losses or costs suffered, incurred or paid by you, pursuant to, arising out of or in connection with the use, inability to use or delay of our website, or (v) for any (personal) injury, death, property damage, or other (direct, indirect, special, consequential or punitive) damages, losses or costs suffered, incurred or paid by you, whether due to (legal) acts, errors, breaches, (gross) negligence, wilful misconduct, omissions, non-performance, misrepresentations, tort or strict liability by or (wholly or partly) attributable to the Supplier (its employees, directors, officers, agents, representatives or affiliated companies), including any (partial) cancellation, overbooking, strike, force majeure or any other event beyond our control.

Complaints

If you have any complaints concerning any services we provide, you must inform us straight away in writing and in any event within 28 days of the end of any arrangements booked through us. We regret we cannot accept any liability if we are not so notified. Our maximum liability to you if we are found to have been at fault in relation to any service we provide (as opposed to any service provided by any accommodation owner for whom we are not responsible) is limited to the payment made to Disabled Friendly Hotels in relation to the booking in question. We do not exclude or limit any liability for death or personal injury which arises as a result of our negligence or that of our employees whilst acting in the course of their employment.

11.    SUPPLIER DIRECTORY

We accept no liability in relation to any contract you enter into for any service that you book from the Supplier Directory or for any acts or omissions by any Suppliers listed.

Our Supplier Directory is complied for convenience and information purposes only. Suppliers are included in the Supplier Directory upon user recommendations. 

Disabled Friendly Hotels do not vet the suppliers included within the Supplier Directory.

Any contract entered into between a user and a supplier within the Supplier Inventory is entered into between the supplier and the user only. 

Disabled Friendly Hotels has no affiliation to the suppliers listed within the Supplier Directory, does not retain commissions from the suppliers contained within the Supplier Directory and will not be held liable for any representations in the Supplier Directory.

Disabled Friendly Hotels will not be held liable for any failings in the services provided by any of the suppliers in the Supplier Directory.

Disabled Friendly Hotels will not become involved in any disputes between the user and any supplier contained within the Supplier Directory provided.

If Disabled Friendly Hotels provides links to other websites via its Supplier Directory, you should be aware that Disabled Friendly Hotels has no control over that other website.

Accordingly, Disabled Friendly Hotels cannot guarantee that the controller of that web site will respect your privacy in the same manner as Disabled Friendly Hotels.

12.    GENERAL

Behaviour

You accept responsibility for any damage or loss caused by you or any member of your party to the Supplier's property..

Full payment for any such damage or loss must be paid direct at the time to the Supplier(s) concerned. If you fail to do so, you will be responsible for meeting any claims subsequently made against us (together with our own and the other party's full legal costs) as a result of your actions.

Insurance

You are strongly recommended to take out personal travel insurance for all members of your party. Some suppliers require that you do so. It is your responsibility to ensure that the insurance you purchase is adequate and appropriate for your particular needs. Please read your policy details on receipt and take them with you on holiday.

Passports and visas

You are recommended to check the up to date position on visa, passport and health requirements, with the Supplier(s) concerned, Passport Office, appropriate embassy or consulate or your doctor as applicable in good time before departure.
